Meeting Minutes
Wednesday, February 3, 2016



Meeting called to order at 7:42 PM by President John Horn
Minutes for December 2015 and January 2016 Meeting:  Difficulty reading PDFs meant that many had not read them.  They were approved and will be posted to Band Boosters website.

*         Band Boosters April Meeting:  Has been changed from the 6th to the 13th


*         Flap-Jack Fundraiser:    February 20th                              Organizers:  Karen Sprague / Lisa Best
Update - ticket sales trickling in. 16 sold; few more in mail.  Karen will work 1st seating and Lisa 2nd.

o   Buffet at Applebee's Saturday 2/20/16 from 8-10am in 2 hour-long sittings

o   Capacity 170 (or less with space for combo).  Could conceivably serve 300.

o   Tickets $15 each, with $5 per ticket going to Applebee's; profit $10/ticket.

o   Josh from Applebee's will print 100 tickets to begin with and we'll pay $500 before a 2nd printing.

o   3 Jazz Band combos will each play 20 min sets - 1 combo will split and do last 10 min of 1st sitting and first 10 min of 2nd.  Students from Concert and Symphonic bands will serve.

o   Sign up sheets posted in band room.  Mr. Slabaugh sent home ticket flyer last week.

o   First ticket sales coming in - Karen will set up a google excel sheet and Mr. Slabaugh will post family names and # tickets to it as they come in.

o   Servers need to arrive at 7:30 for set-up.  Each sitting will need 10 students:  2 greeters, 2 servers per section x 2, 2 at the buffet, and 2 refilling drinks.  20 total.

o   Students <16 cannot serve; those who are 16 or 17 can but need a waiver / parental consent; those who are 18 don't need a waiver.  Mr. Slabaugh has these, and it has been sent out electronically.

o   Web tickets and donations set up but not live yet.  Jennifer Tan working with tech to launch.

o   Mr. Slabaugh approached by student in Interact Club - they have offered to donate service hours and have members serve.  Katie will get in touch with CSF to solicit more servers.  Both organizations will be asked to provide servers for breakfast and Coconut Grove.


*         New Orleans Jazz Band Trip - April 6-11th                                               Organizer:  Katie Horn

o   Wed Apr 6th 4:35pm departure on Southwest

o   Will arrive late at 12:30 AM and will be late getting to hotel and to sleep

o   1st Gig:  Friday noon Dutch Alley.  Working on repeat performance for Sunday.  Also will be in touch with schools / universities to secure other options.  Washington Artillery Park not an option this year as it's being used by sponsors

o   Mon Apr 11th 3:45pm arrival back at SMF.

o   19 students and 11 chaperones.  $1,200 per person.

o   John updated his shipping license so sending pallet should not be a problem.  Someone may have to go a day early to make sure instruments available.

o   Group meeting closer to date for final trip details.

o   Hotel 4 blocks from Bourbon Street;  Students will be supervised at all times.

o   Katie needs full names (including middle names) and birthdays.  $ coming in.


*         Disneyland All Bands Trip - May 13-17th                                               Organizer:  Katie Horn

o   Busses will leave Fri May 13th after lunch

o   Sunday - workshop with Disney Animation

o   Saturday and Monday - activities to be discussed

o   Tuesday AM:  2 performances, one for all bands together and a separate one for Jazz Band

o   Currently, there are close to 100 kids signed up, and 10-15 chaperones; 2 busses hold 112

o   So far, participants should have paid $500.  Depending on fundraising success, may be asked to pay up to $100 more.

o   This is 2 weekends before Memorial Day - should adversely affect a different group of kids and their activities, as it's usually a week later.

o   Options for late arrival (paid for by family), but group will organize pickup from airport and inclusion into activities.

o   Return after performances on Tue May 17th

o   Next trip planning meeting will be after next Band Booster's Meeting on Wed, March 2nd



*         Coconut Grove - March 5-6th                                                                  Organizer:  Phil Bachand

o   Saturday night 5:30-9:00 Dinner - Jr and Sr High Jazz Bands

o   Sunday afternoon 1:30-4:00 Dessert - Other ensembles

o   Call for donations - sign-up genius already out

o   Call for volunteers - sign-up genius will be going out

o   As above, Interact Club and CSF may provide volunteers

o   Site for silent auction and ticket purchase being organized by Jennifer Tan

o   Sat Show will have HS Band and JH Bands.  Sunday show could be less formal and include outside musicians.  At Emerson.


*         Director's Report - Tom Slabaugh


o   NorCal Honor Band - February 4-7th  (Thu-Sun):  Mr. Slabaugh will be taking the 14 students selected to represent DHS in the Northern California Honor Band, comprised of students from 27 counties in Northern California.  They will be rehearsing and performing at Humboldt State.  The DHS contingent represents the largest group in this 100-member band.  The students are:

o   All State Honor Band - February 11-14th  (Thu-Sun):  Mr. Slabaugh will be taking  Jessica Block (trumpet) and Hannah Richter (Horn) to participate in the All State Honor Band in San Jose. They are part of a quite elite group of about 325 of the best band musicians from throughout the state. I am incredibly proud of their accomplishment!


o   Capitol Steps Performance by the Symphonic Band and Orchestra - May 19th  (Time TBA)
This will celebrate Music Advocacy Day.  State Assembly Member will be there.


o   Symphonic and Jazz Bands Auditions:   Materials posted for
Jazz Band members have to audition each year

Symphonic Band members do not have to re-audition once they're in



*         Picnic Day:  Application in


*         Lamppost Fundraiser - currently scheduled for 4/12, which is just after Jazz Band return from New Orleans, and so may have to be moved.

*         Senior Concert - May

*         By-Laws Update - John noted that he'll be proposing 2 amendments

o   Accounting change

o   Change in calendar year both for accounting and officers to begin July 1

*         New Leadership - We need to address this.  John plans multiple announcements.
